DOT compliance for fleets running 10–50 trucks

The truth about your DOT compliance — before an auditor tells you.

One source of truth for every driver file, medical card, inspection and filing deadline in your fleet — and a text before something turns into a violation.

14-day free trial · No credit card · Set up in an afternoon

Why now

A 500-truck carrier has a safety department. You have a filing cabinet and a phone.

The rules don’t scale down. The same driver qualification files, the same drug and alcohol program, the same maintenance records, the same deadlines — enforced against an operation where the owner is also the dispatcher. And when a compliance review is triggered, notice can be as short as 48 hours.

~38%

of compliance-review violations trace back to driver qualification file gaps — expired cards, missing annual reviews, unfinished employment checks.

190k+

CDL drivers sat in Clearinghouse prohibited status heading into 2026. Hire one without a query and it's your violation.

48 hrs

is all the notice a targeted compliance review may give you. Files either exist that morning or they don't.

How it works

Set up in an afternoon. Not a quarter.

Step 01

Create your account

Tell us your USDOT number so we can set up your carrier — units, drivers, inspection history — before you type a thing.

Step 02

Send what you already have

Spreadsheets, PDFs, folders, photos of medical cards taken in a truck cab. Messy is expected. Your first screen is an honest gap report of what an auditor would find.

Step 03

We watch it from there

New roadside inspections, expiring cards, revoked ELDs, rule changes. You get a text while it's still a reminder instead of a fine.

Document capture

Your drivers don’t need a login. They need a phone number.

A driver texts a photo of a renewed medical card from a clinic parking lot. TruDOT reads it, files it in the right place, updates the expiration date, and confirms — before he’s back on the road.

  • Text, email or upload — same result
  • Medical cards, CDLs, annual inspections, MVRs, DVIRs, certificates of insurance
  • Anything the reader isn't sure about goes to a review queue instead of guessing
  • Expiration reminders text the driver directly, so you stop being the middleman

Got it. Medical certificate for Miguel Alvarez, expires 08/14/2028. Filed to your DQ file — that one was due in 9 days, so you’re clear.

What it covers

One record. Organized the way a reviewer reads it.

Your compliance lives in six places right now — a filing cabinet, two inboxes, a shared drive, your dispatcher’s memory, and a consultant’s spreadsheet. TruDOT is the one place that holds all of it, and the only one that’s current.

Part 391

Driver qualification files

Applications, MVRs, road tests, employment verifications, medical certification and annual reviews — with a completeness score per driver.

Part 382

Drug & alcohol program

Pre-employment and annual Clearinghouse query tracking, test results, random pool records, timed to the reporting windows.

Part 396

Vehicle files

Annual inspections, DVIRs, repair and maintenance history — per unit, with the next inspection always on the clock.

Registration

Company filings

MCS-150, UCR, IRP, IFTA quarters and insurance renewals on one calendar, so nothing lapses quietly.

Roadside

Inspection & score watch

New inspections show up on your board days after they happen, with the violations translated into plain English and a fix.

Devices

ELD revocation alerts

If the device in your trucks comes off the registered list, you hear it from us — not from an officer at the scale.

Export

Audit packet

One click builds the binder a reviewer asks for, sorted by CFR part, with a cover sheet that says where you stand.

Monthly

Mock audit

A scored report of what a review would find today, with the fixes ranked. Forward it to your insurance agent.

Pricing

Published, because you shouldn’t need a sales call to learn a number.

Every plan starts with a 14-day free trial. No card up front.

Questions

The ones we get on every call.

Do I have to change my ELD?+

No. TruDOT doesn't replace your ELD, your TMS, or your dispatch software. It sits beside them and handles the paperwork side. We do watch the federal registered-device list and tell you if your model gets revoked.

I already pay a compliance consultant. Why this?+

Plenty of our fleets keep theirs. The difference is speed and visibility: ask what your driver file completeness is right now. If the answer takes a phone call and a day, that's the gap we fill. Consultants get better information out of a fleet running TruDOT.

Do you run my Clearinghouse queries for me?+

Not yet — and we'd rather say so than imply otherwise. Today TruDOT tracks every query deadline, tells you exactly which drivers are due, and walks you to the right screen.

What happens to my documents?+

They're stored per carrier and exportable at any time. If you leave, you take the full file with you in the same binder format an auditor would ask for. No hostage data.

My fleet is 6 trucks. Or 80.+

TruDOT is built for 10 to 50 power units, where the paperwork has outgrown a spreadsheet but nobody's been hired to own it. Talk to us if you're outside that range — we can usually still help.
